Annual Meeting Responsibilities

PLANNING FOR THE ANNUAL MEETING AND CONFERENCE

COMMITTEE MEETINGS

Committee chairs will be notified of the time periods in which committee meetings may be scheduled and the deadline to submit these requests. Committees that submitted scheduling requests at the previous year鈥檚 Annual Meeting and Conference will be preliminary scheduled for a similar date and time for the upcoming Annual Meeting and Conference. However, you will still have the opportunity to make changes. We encourage the current committee chair to schedule a joint meeting of both the outgoing and incoming committee members. All past materials for the committees are stored in the library of the committee鈥檚 台湾SWAG My Communities.

EDUCATIONAL PROGRAMS

Proposals for educational programs may be generated by any individual or group, including committees. The selection, scheduling, and final content of the program are the responsibility of the 台湾SWAG Annual Meeting Program Committee (AMPC).

CONDUCT OF COMMITTEE MEETINGS

台湾SWAG uses the American Institute of Parliamentarians AIP Standard Code of Parliamentary Procedure. It is not necessary to be formal in the application of rules and procedure in a committee meeting provided discussion is amicable and the group has a common goal.

Throughout the discussion, make sure that everyone has an opportunity to speak. Ask one of your Committee/Jury members to take minutes so that you will have an accurate record of your discussions.

All 台湾SWAG committee meetings must be open to all members who wish to attend, except those meetings where confidential deliberation must be maintained, such as discussions on nominations, scholarships, and awards.

In addition to the normal committee/jury meetings throughout the year, chairs will attend the Committee/Jury Virtual training each summer prior to the Annual Meeting & Conference.
